Adding Trainees is very similar to adding Trainers, which we covered in a different video. In Training Manager, with the focus on Trainer on Documents, have a document title highlighted, and then select Add/Remove Trainee. Select the desired trainees from the list of available users, and then select the trainer and the Training Type. Then, identify whether or not a Demonstration of Competence is required. Save your changes and exit the dialogue. Let’s take a look at a quick example of adding trainees to a document. I am logged onto Training Manager. I want to add a Trainee to a document, specifically the document that we added Trainers to in a previous video of ours. I will make sure that my focus is Training Admin on Documents. Now I need to select the document title that I want this trainer to perform the training, and then I will select Add Trainees. This brings up a dialogue that has a list of users that could be added as Trainees, as well as a drop down to be able to select a specific trainer that I will be assigning the trainees to. I will select a handful of users from the list on the left side of the window. You can multi-select by holding down the Ctrl key and highlight multiple users. Also note that it displays where the users comes from, where it is a user, a user group, or a member of the personnel pool. Then we will select the training type, is it going to be trainer led, or is it going to be self-trained? If you have highlighted any users from the Personnel pool, that means they cannot access the system, therefore the training MUST be Trainer led. I will select Trainer led. Is there going to be a Demonstration of Competence required? If so, check the box for ensure that Demonstration of Competence is required. The system will use the default target Competence date to assign a completion date for the demonstration of competence. For this example, I will not require a Demonstration of Competence. Then we will click Save and close.
